Medigini – Doctor Scheduling Dashboard

  1. Designing a Smarter Doctor Scheduling Tool

Outlook calendars were no longer enough.

Medigini needed a more visual, efficient, and doctor-centric way to manage weekly appointments across regions.

This speculative case study was created during a hiring process at Arsipa GmbH to explore how a modern UI/UX approach could streamline scheduling for 35+ medical professionals.

  1. Understanding the Coordinator’s Pain

The project focused on Anna Schreiber, a fictional persona based on real organizational needs.

As an appointment coordinator at Volkswagen’s Occupational Health department, she juggles 5 regional teams and over 35 doctors.

Through UX tools like user journeys, flows, and realistic personas, I identified core pain points:

  • Outlook calendar chaos

  • Manual vacation/sick-day handling

  • VIP appointment anxiety

  • Lack of team-region separation

“This modular approach supports medical professionals with a minimal learning curve, enabling rapid scheduling during emergencies.”

  1. Chaos to Clarity

Inspired by medical calmness and modular UI systems, I crafted a clean scheduling dashboard.

Key features include:

  • Doctor-focused layout: toggle by doctor, not dates

  • Color-coded appointment types (video, clinic, on-site)

  • VIP & travel time tags for at-a-glance decisions

  • Export to HR & weekly PDF overview

  • Conflict warnings for smarter rescheduling

  • This one-screen concept strikes a balance between clarity and complexity, with subtle flexibility built in for real-life coordination and chaos.
